Senior Executive Assistant 💻

The role

We are looking for a responsible Senior Executive Assistant to support our senior managers in a timely and professional manner. You will provide high-quality administrative and clerical assistance to top-level executives.

The Senior Executive Assistant’s main duties include scheduling meetings, making travel arrangements and organising daily calendars. To be successful in this role, you should be proactive, meet deadlines and communicate effectively.

You should be able to identify and address the needs of senior managers and perform administrative tasks to ensure our company’s workflow runs smoothly.

What you’ll be doing

  • Complex diary management for the CEO & CTO
  • Creating detailed travel itineraries: booking and arranging travel, transport and accommodation
  • Extensive and efficient email correspondence
  • Organising meetings, including booking venues, ordering refreshments and basic minute-taking
  • Communicate with Board Members, schedule Board Meetings, and arrange meeting agendas
  • Overseeing the creation of contracts, client packs and other documents, including their formatting, printing, binding and distribution
  • Ad-hoc personal errands for the CEO & CTO
  • Reminding the manager/executive of important tasks and deadlines
  • Management of miscellaneous issues
  • Readiness to be contacted out of office hours
  • Handling confidential matters with discretion
  • Occasional Travel

Who we are looking for:

  • 4+ years experience in a PA, Executive Assistant or similar role preferably to more than one executive.
  • Familiarity with online calendars and cloud systems
  • Experience exercising discretion and confidentiality with sensitive company information
  • Strong time-management skills and the ability to organise and coordinate multiple projects at once
  • Excellent organisational skills with an ability to think proactively and prioritise work
  • High school degree; additional qualifications as Personal Assistant or Secretary are a plus
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • Superb written and verbal communication skills
